Referral Management for Rocket Doctor Specialists
This guide outlines how referrals are managed on the Rocket Doctor platform for Specialists, including how to set up your preferences, manage incoming referrals, and ensure timely consult follow-ups.
🛠️ Getting Set Up
Referral Criteria
When you join Rocket Doctor as a Specialist, you’ll be asked to complete an Intake Questionnaire. This outlines your referral criteria, scope of practice, and booking preferences.
If you wish to make changes after your initial setup, please email specialists@rocketdoctor.io.
Auto-Booking
You can choose whether to enable Auto-Booking:
- Enabled: Referrals are automatically booked into your calendar based on your availability. You’ll still receive the referral document to review.
- Disabled: You’ll triage referrals before booking, which may result in additional back-and-forth with yourself and the patient.
Auto-booking allows for faster clinic scheduling and minimizes delays.
Scheduling Your Clinics
You have two options for managing clinic dates:
- Use the Specialist Calendar to block off availability.
- Email us at specialists@rocketdoctor.io if you prefer to collect referrals first and schedule later.
To cancel or reschedule a clinic, please email specialists@rocketdoctor.io as soon as possible.
📩 Receiving Referrals
Referrals can come from:
- Rocket Doctor’s in-network providers, or
- Community clinics and hospitals
Our team promotes active Specialists to our referring network to help increase your referral volume. We also provide specialist posters you can use to promote your virtual practice—just ask us for copies!
Referral Flow
Once a referral is received:
- If Auto-Booking is ON:
The patient will be scheduled immediately based on your availability. - If Auto-Booking is OFF:
The referral will be sent to you via email or fax (based on your preference) to triage within 24–72 hours.
Triage & Response Expectations
We kindly request that you respond to specialists@rocketdoctor.io to Accept / Decline / Request More Information within 7 business days.
If no response is received within 7 business days, the referral may be re-directed to another Specialist to avoid delays in patient care.
1) If You Accept
- The patient will be booked into your next available clinic.
- If you don’t have preset clinic dates, our team will reach out to request your availability. Please provide at least two to three options to improve booking success.
2) If You Decline
Please include a reason (e.g., outside of scope, virtual care not appropriate, waitlist too long). This helps us improve referral matching in the future.
3) If You Require More Information
Please be specific about what is missing or needed so our team can retrieve the required information from the referring provider efficiently.
🗒️ Completing Your Consults
After your consultation, your consult note must be sent to the referring provider.
Currently, we aim to manage this process with minimal involvement from you, but due to variability in note completion timing, we cannot guarantee automatic follow-up for all consults.
To ensure timely delivery:
- Once your note is finalized, please email specialists@rocketdoctor.io with the Patient ID number so we can send the report to the referring MD.
We encourage Specialists to send consult notes promptly upon completion to support continuity of care.
