<h2>Converting a Chat Visit to a Video Visit – Clinical Guidelines</h2>While most concerns can be addressed via Chat, there are situations where a video visit is more appropriate based on clinical judgment. Below are two common scenarios and guidance on how to proceed:<hr><h3>Scenario 1: Before the Visit Begins</h3>The patient booked a Chat visit, but based on triage information, the MD determines the case is better suited for a video or phone assessment.<h4>What to Do:</h4><ul><li>Send a message to the Admin Team (using the Get Help chat) requesting to convert the appointment to a video or phone visit.</li><li>The Chat fee will be refunded to the patient.</li><li>The new visit can be billed to OHIP using appropriate codes (e.g., A101A or A102A).</li><li>If you’re unable to see the case by video, you may suggest Admin offer it to another MD who is comfortable completing it via Chat.</li></ul>💡 Reminder: Video and phone visits with a physician are insured services in Ontario and cannot be billed directly to patients.<hr><h3>Scenario 2: During the Chat Visit</h3>You begin the Chat appointment and, during the conversation, determine that a video assessment is required for proper clinical evaluation.<h4>What to Do:</h4><ul><li>Complete the Chat visit to the best of your ability (e.g., initial assessment, history-taking).</li><li>Send a message to Admin Team (using the Get Help chat) requesting a new video appointment for the patient. This can occur immediately if you’re available and the patient consents.</li><li>The new video visit can be billed to OHIP (e.g., A101A), and you will still be reimbursed for the completed Chat component.</li></ul>⚠️ Do not continue the visit via video during a Chat session. The patient must be rebooked into a proper video visit to comply with billing regulations.<hr><h3>Clinical Discretion</h3>As an independent practitioner, you are responsible for using your clinical judgment to determine the appropriate visit format.<ul><li>If a concern is clearly inappropriate for Chat, do not proceed with the Chat visit.</li><li>If this becomes clear during the Chat, it is acceptable to complete the visit and arrange a follow-up via video.</li></ul>Maintaining clinical integrity and adhering to OHIP billing regulations ensures safe, appropriate care for patients—and proper reimbursement for you.

On the 15th of each month (or nearest business day).

<h4>What is Rocket Doctors no-show policy?</h4>All patients get one free pass, and then on a subsequent no-show, they are charged 40$. If they don't pay, they cannot book another appointment. This is for all standard appointments (GPs).&nbsp;The $40 is credited on your monthly invoice. You will notice two invoice lines:<ol><li style="text-align:justify;">RD Overhead Cash Services -&nbsp;The overhead charged per private pay visit and sick note transaction (i.e. sick notes or paid visits for those without OHIP). Our overhead is 25% for these types of transactions. We simply pay you 75% of the total cash collected and keep the 25% overhead. You'll see the second last line-item refunds you this line item. The reasoning for this format is to ensure we capture the tax on the 25% overhead charged. &nbsp;</li><li>MD Earnings from Cash Services 75% -&nbsp;This is your 75% earned CREDITED to you for the no show.&nbsp;</li></ol>

Does Rocket Doctor charge no shows?

Each invoice you receive encompasses the entirety of one calendar month. Meaning if you receive an invoice on February 15th, that invoice encompasses all services provided for the entire month of January (the 1st to 31st).&nbsp;&nbsp;Please note that this schedule is different from that of each provincial ministry of health payment schedule. Given that Rocket Doctor is a technology provider rather than a clinic, our financial schedule runs off the utilization of the platform during our financial period. &nbsp;

Can my colleagues send a referral to specialists on Rocket Doctor? 

1.&nbsp;Netcare:&nbsp;The best source on a patient’s government health insurance is Netcare. Physicians can view the patient’s demographic details and what insurance is valid. For each patient, an eligibility start date is shown. If this date is blank, the patient does not have Alberta Health insurance. As noted above, compare the date of service with the eligibility start date to check if your patient had AHCIP coverage for the date of your claim. &nbsp;2.&nbsp;Alberta Health Phone Line:&nbsp;Alberta Health has an Interactive Voice Response number (1-888-422-6257) that allows physicians to check if a patient has valid Alberta Health coverage. Call the number, enter the patient’s ULI and the date of service, and you will get an automated response informing you if the patient has valid Alberta Healthcare as of the date of service. Note the response is specific to the date of service entered. If you patient receives valid AHCIP coverage as of September 1, but the date of service was August 31, the system will notify you that coverage does not apply. &nbsp;

How can I verify a patent's PHN?

As a technology provider, Rocket Doctor is not required to provide any sort of tax documentation. Rather, invoices should be treated like receipts that can be claimed come tax season. We encourage you to keep all your invoices upon receipt in order to claim them as an expense come tax season.

Does Rocket Doctor send out official documents for tax filing purposes?
